Wheeler Accountants is growing and is in need of a full-time Administrative Assistant staff member to join our growing team of professionals in our Watsonville office..

What does the Administrative Team do?

During tax season, the Administrative Assistant’s duties will consist primarily of assembling tax returns, scanning client documents to our digital filing system, logging tax return status, maintaining the paper file system, organizing staff lunches, ordering supplies and occasional ad hoc projects as needed. In off-peak months the duties would consist of those mentioned previously with more focus on developing employee skills in accounting and client services.

Primary Duties:

  • Handle private, privileged and sensitive information with absolute confidentiality
  • Assemble tax returns, financial statements and other presentation materials
  • Scan client documents to digital filing system
  • Log invoices and tax return status in our practice management software
  • Maintain an orderly filing system for business and individual client permanent records
  • Order basic office supplies and maintain office supply inventory
  • Answer phones and greet clients


Duties may also include:

  • Maintain schedules and calendars – arrange meetings, staff meals, and appointments
  • Ensure the timely delivery of tax returns once completed, by mail or special delivery.
  • Set up and maintain client information in firm database
  • Process and distribute mail, generic/main incoming emails
  • Other duties as may be assigned by Partners, Managers, or Firm Administrator


Job Qualifications:

At least three to five years of prior office experience, at least two years working for a CPA firm.

Proficient knowledge and of MS Office products, Outlook, Word and Excel

Comfortable learning and using new software products, firm technology and internal procedures.

Strong communication, administrative and interpersonal skills

Willingness to grow and change as the firm grows.
