About the position:

Under general supervision of the Program Manager of Business Operations and according to general policies and procedures, provides orientation and ongoing guidance to administrative, direct services and management staff. Performs complex administrative duties and uses discretion and independent judgment when creating or editing materials and organizing workload to meet established priorities.

What you'll be doing:

  • Supports daily operations to Programs, provides guidance to support staff, and provides back up to administrative support staff.
  • Coordinates daily office operations and facilities maintenance, coordinating both internally and externally (landlords, vendors, contractors) wit
  • Oversees and coordinates site purchasing and payment requests and ensures invoices are prepared in a timely manner according to accounting policies and procedures.
  • Facilitates and coordinates the monthly entry of service data into various databases. May reconcile financial transactions or provide data for budget tracking.
  • Provides service data reports to internal and external sources on a regular monthly and as needed basis.
  • Independently gathers information, composes, and prepares memos, correspondence from rough draft. Proofreads and edits draft and final copy materials for appropriate and consistent format, accuracy of financial figures or other data and correct punctuation, spelling and grammar. Creates or reviews office-related policies and procedures for current and best practices.
  • Oversees meeting scheduling in conjunction with administrative staff to facilitate best practice, proactively address possible problem areas, and promote teamwork.
  • Coordinates office and desk set-up for onboarding employees and any office changes. Coordinates long-term record storage for site programs.
  • Other duties as assigned.

Experience and Training:

  • High School Diploma or G.E.D. equivalent. Bachelor's degree preferred.
  • A minimum of three to five years administrative related work experience.
  • Database experience with in-depth knowledge and experience with Microsoft Office products.
  • Two years experience in invoicing, accounts receivable and accounts payable functions.
  • Medi-Cal experience preferred.
